Calendar sync
It’s always important to keep track of all of your upcoming tasks, whether business or personal.
Having several calendars can lead to double-booking or missing appointments, which can make you look unprofessional and lead to the loss of important deals.
To prevent this, we suggest syncing your Pipedrive account to your preferred calendar system – Google, Exchange, Outlook, or Office – to bring your worlds together using Pipedrive’s calendar sync.

Setup
To enable the calendar calendar synchronization, go to Personal preferences > Calendar sync and click “Connect account.”

From there, provide the email address and password of the calendar account you wish to sync, and go through the authorization flow to give Pipedrive access to your external calendar.
Settings
When syncing your calendar and Pipedrive, you can choose from several options based on how you want Pipedrive and your calendar to interact, such as which calendar to sync (if you have multiple) and your preferred sync type.

You can stop the sync and sync a different account anytime you need to ensure that you don’t miss any important events.

Calendar sync types
You have two options to sync your external calendar with Pipedrive:
Two-way sync: Activities and events are updated between Pipedrive and your external calendar and vice versa
One-way sync: Sync activities only from Pipedrive to your external calendar

Two-way sync
When you select two-way sync, activities created in Pipedrive are synced to your calendar, and events created in your external calendar are synced back as Pipedrive activities.
Edits made in either calendar will update the linked event or activity in the other platform.
Default visibility of external events
You have the option to control the visibility of external events synced into Pipedrive, choosing whether they’ll be visible to everyone or only to you.

Syncing private events
You can also manage how to sync private events, which is useful when you want to keep certain personal appointments (e.g., a doctor’s visit) private in your synced calendar.

“Visible to everyone” – means every user in Pipedrive will be able to see them
“Visible only to you” – an unidentified block is added to your calendar, and only you can see its specifics.
Alternatively, you can also skip syncing them altogether, in which case you should manually block your schedule to avoid conflicts.
Importing external events
The setting “Converting external calendar events” informs Pipedrive how to import events from your synced calendar and what activity type they’ll have.

One-way sync
When one-way sync is selected, only the activities created in Pipedrive will be synced over to the linked calendar. However, events created in the linked calendar won‘t create activities in Pipedrive.
They may be any of the default activity types – call, meeting, task, deadline, email, lunch – or any of the custom activity types created for the company account. Learn more about activities and custom activity types in this article.
The option “Select which Pipedrive activities appear in your external calendar” allows you to select which of the Pipedrive activity types you wish to sync to your associated calendar.

If you wish to keep any activities from being synced over to the calendar connected to Pipedrive, we suggest unchecking the relevant activity types from the list.
Any changes made to these options, such as changing which Pipedrive activities are synced, will be saved automatically in Pipedrive.
Advanced settings
You’ll also see an option to include the deal and contact information in the activities description.

Calendar view
To start syncing your calendar, click on “Start sync” and, in a matter of minutes, you’ll be able to view your activities in your calendar view.

The calendar view is a helpful tool for tracking your activities, keeping your sales moving and ensuring you get those all-important wins.

In both the calendar and list view, you’ll be able to see the status of your sync and the account you’re syncing.
