Shareable Insights

The Insights feature lets you share your dashboard with internal and external users by clicking “...” in the top right corner and choosing the desired option.

In Pipedrive, there are two options for sharing dynamic dashboards: internal sharing with users and external sharing with a public link. Additionally, you can export static PDF or PNG reports.


Sharing dashboards with other users

Note: Sharing dashboards with editor rights is only available on Professional and higher plans, but everyone can share reports and dashboards internally with viewing rights. Learn how to switch plans in this article.

Internally, dashboards can be shared with:

  • Everyone
  • Selected users
  • Teams

When you click on the search bar, you‘ll see your available options.

Shared dashboards can be found under the Shared with me folder of your Insights navigation.

Sharing options

Note: Dashboard editors can share and make changes, but can‘t transfer ownership or remove access.

When you share a dashboard with a user, you can designate them as viewers, editors, transfer ownership or remove access.

Insights viewers

Shared dashboards set to “view-only” can‘t be updated by non-owners. If any changes are made to the reports, they can be saved as a new report and added to your personal dashboard.

The quick filters are still available and specific to the user, meaning you can apply quick filters even when you‘re not the owner.

As a viewer of a report, users can‘t:

  • Add reports to the shared dashboard
  • Remove reports from the dashboard
  • Add shared reports to other dashboards
  • Share the dashboards and reports with other users

Performing these actions requires editing access for Insights.

Note: You’ll receive an email notification when a dashboard is shared with you.

Sharing dashboards externally

Note: This feature is available in all plans. Creating shareable links is only available by default to admin users. To allow non-admin users to create links, go to Settings > Manage users > Permission sets, and enable the “Share Insights dashboards as public links” permission.

To create a shareable link for your Insights dashboard, select a dashboard, then click Share > Share as public link > Get link

You can then copy the link to your clipboard and send it to anyone interested to know how you and your team are progressing.

Once non-Pipedrive users open the link, they can view the dashboard.

Note: The shared dashboard is updated in real time as the data in your dashboard is updated. The public page is updated after two minutes and a full page reload is done every hour.

How can I manage viewer access?

If you want to share the same dashboard with multiple different viewers, you can create multiple links by clicking on “Add new link” under the existing links.

For example, if you want to share the same dashboard with your managers and clients, you can create two separate links and name them accordingly.

Click the pencil icon next to “Shared with...” to rename your link.

This way, if you want to revoke access for one group, you can do so while still keeping the other link active for your other group.

Note: To delete a dashboard link and revoke access for whoever has that link, click on the trash can icon next to the link.

Reassigning dashboards and reports

To reassign a dashboard or report to a different user in your account, click on “...” > Share with users > dropdown menu (next to the desired user) > Transfer ownership.

Once you have confirmed and clicked “Save,” you‘ll see a dialogue box asking you to verify the ownership transfer:

After clicking Transfer, the selected user will own the dashboard, and they‘ll receive an email notifying them of the transfer.

Note: After transfer confirmation, the previous owner can find the dashboard under the “Shared with me” folder in Dashboards. Reports added to this dashboard will also be visible under the “Shared with me” folder in Reports.

Update intervals

Note: When a user changes the update intervals for a dashboard, those changes are applied to every dashboard link created by that user.

To change the update intervals for a shared dashboard, two conditions must be met:

  • You have to be the creator of the dashboard link
  • The link has to be opened in the browser it was created in

If a different user opens the link, they’ll see the default update interval (one hour).
